The Facilities Manager's Office Move-Out Checklist
A tenant move-out has a hard deadline and a lot of moving parts. Miss the give-back date and you’re paying holdover rent; rush it and you’re left with a floor full of furniture and no crew. Here’s the checklist we’d hand any facilities manager clearing a Denver Tech Center office.
4–6 weeks out
- Confirm the give-back date and what “broom-clean” means in your lease.
- Inventory what stays vs. goes — furniture, equipment, files, signage, IT gear.
- Book your cleanout vendor early. The good ones fill up; locking a date now protects your deadline.
- Request the COI naming your building so it’s on file before anyone shows up.
2–3 weeks out
- Separate the electronics. Monitors, desktops, servers, and cabling need certified e-waste recycling, not the dumpster — and hard drives may need secure handling.
- Flag anything donatable. Usable desks and chairs can go to local charities instead of the landfill; tell your hauler so they can donate-first.
- Confirm building logistics — freight elevator reservations, loading-dock windows, and whether the work has to happen after-hours.
The final week
- Pull what’s being kept or moved to the new space first, so the crew clears only the surplus.
- Schedule the haul to land on the give-back date — not after it.
- Walk the floor with the crew at the start so everyone agrees on what’s going.
Move-out day
- Crew clears furniture, cubicles, files, and e-waste.
- Space is left broom-clean and empty, ready for the landlord’s walkthrough.
- Get disposal documentation for the electronics if your compliance team needs it.
